Work you’ll do Receipts and Payments
  • Maintaining the cashbook of engagements’ bank accounts and performing monthly bank reconciliation and ensuring bank statements and advice are scanned and save in network drive.
  • Assisting in payment to be made by the respective engagements through cheque payments/TT forms, disbursement forms, online banking platform and payment requisition via Minlaw E-services.
  • Filing of hardcopies of receipts and payments.
  • Liaising with the bank on all banking related matters.
  • Downloading of OR statement of account from Minlaw E-services.
  • Maintaining the filling of hardcopies/softcopies of receipts & payments, bank statements and remittance advices.
  • Working with engagement team to prepare the Liquidator’s account of receipts and payments for periodical lodgement with ACRA and OR.
  • Preparing payment to be made to third party liquidator fee (LCH) and oath fee (Continental Law) through disbursement form.
  • Preparing the account of receipts and payments to facilitate the periodical lodgement.
  • Liquidator’s Account of Receipts and Payments (Form 75 for companies under Companies Act and Form VWU-7 and CWU-10 for companies under IRDA 2018)
  • Receiver or Manager’s Accounts of Receipts and Payments (Form 63 for companies under Companies Act and Form RM-2 for companies under IRDA 2018)

Statutory Filing
  • Filing of Liquidator’s account using ACRA Bizfile and Minlaw E-Services.
  • Filing of resolutions/minutes, change of registered office address, change of directors/secretary, for clients’ companies that are placed under winding up.
  • Filing of appointment/cessation of liquidators, receivers/receivers & managers and judicial managers.
  • Filing of statement of affairs and dissolution of companies.
  • Filing of all other forms as required with ACRA/OR
  • Extract bizfile documents (e.g. Statement of Affairs, others documents relates to insolvency).
  • Filing of documents relating to OR via Minlaw E-services.
  • Ensure compliance with relevant statutory and regulatory requirement.
  • Maintaining and updating of the ACRA Bizfile Registered Filing Agent (RFA) Client List.
  • Ensure the renewal of Qualified Individuals (AG & JL) and Registered Filing Agent (DTFAS) with ACRA before expiry.
  • Maintaining a list of each Liquidator’s information (IP licence & NRIC) in the network drive.
  • Liaising with Notary Public for commissioning of statutory declarations and affidavits.
  • Maintaining bizfile payment records and preparing disbursement for payment to DBS Card before due date.
  • Liaising with ACRA officer on other matters related to Bizfile technical issues.
  • Liaising with OR officer on matters related to Minlaw E-services technical issues.
Questnet
  • Maintaining a list of authorised personnel to access Questnet for company searches.
  • Liaising with Experian Credit personnel for proforma invoice for top up of points
  • Perform company search (business profile), litigation search or individual search
  • Maintaining the Questnet account, ensuring sufficient balance and performing monthly reconciliation of usage which is to be reported to finance department.
  • Prepare disbursement form for top-up of the Questnet account

IRAS
  • Assisting in e-filing of GST return, GST cancellation, corporate tax return, AEOI, CRS return and FATCA return. Retrieving of notices/letters from Mytaxportal.
Books and Records
  • Packing and indexing of records and documents at clients’ premises, cabinets and storeroom.
  • Liaising with storage provider and respective engagement team members for storage and destruction of books and records (Liquidators’ files, Company secretarial records, Clients files etc).
  • Maintaining hardcopy of storage records and updating the storage listing of liquidators’ files at Iron Mountain
  • Maintaining hardcopy of storage records and updating the storage listing of clients files at external service providers
  • Maintaining and updating a list of cartons store in the storeroom.
  • Maintaining and updating a list of secretarial records in the white cupboard.
  • Assist the respective team on receiving and returning of cartons to relevant storage provider.
  • Assist with movements in the storeroom where necessary.
  • Record movement of empty cartons.
  • Ensure the storeroom is tidied up and monitoring the movements of cartons in and out of storeroom.

Other admin support
  • Maintaining and updating the Bankers’ Guarantee listing.
  • Preparing disbursement form for BG commission charges.
  • Prepare RRFs, charge code opening forms, Workbench, other internal forms etc as requested
  • Maintaining and updating the list of engagements in INSOL1
  • Maintaining file closure/record retention policy
  • Maintaining the hardcopies of original indemnities and updating the list of original indemnities.
  • Update the team of any changes on ACRA Bizfile.
  • Process incoming and outgoing mails
  • Binding and Filing
  • Printing of Arch File labels
  • Printing of updated cabinets listing
  • Monitoring and requisition of stationeries, including photocopy paper
  • Co-ordinate servicing of photocopier and fax machine if necessary.
  • Liaising with Mailroom and preparing necessary documents to arrange courier and registered mails
  • Assisting in any other ad-hoc departmental administrative request
  • Assisting to send out of office notices when required

Requirements
  • Diploma or equivalent qualification in Business or related discipline with a minimum of 2-3 years of relevant experience.

  • Meticulous, possess initiative, with the ability to multi-task.
  • Strong communication and interpersonal skills
  • Able to hands-on with strong problem-solving skills.
  • Computer proficient knowledge of MS Excel, Word, and PowerPoint is essential.
